Impact Sports Scheduling and Cancelation Policy for Fit Academy Programs

Scheduling

Fit Academy Programs are ongoing and operate year round.  For these programs the trainer and participant/support staff will agree on a weekly day and time for training.  The participant is then expected to be present at the Kuntao facility for training each week, that day and time.  This arrangement will continue until the participant decides to terminate training services.

The participant’s weekly time slot may only be changed if the both the trainer and participant/support staff agree to the change. Time slots may be changed for a single week to accommodate a one time conflict, on a case by case basis.

Contact

At the first training session, the trainer should provide the participant/support staff with a business card containing their phone number and email.  The support staff should provide the trainer with at least two contact numbers and one email address.

Participant Cancellation

If the participant must cancel a training session do to a prescheduled conflict such as a vacation, appointment, or special event, the participant/ support staff must inform the trainer at least 2 weeks prior to the missed class. If the participant must cancel a training session do to illness or other unforeseen issue, they must call the trainer and either speak with or leave a message for the trainer prior to 8am on the day of training.

Failure to follow the above mentioned cancelation procedures will result in the Participant being charged full price for the missed session.

In multi participant classes, cancellations must be made on a per person basis.  Therefore if one participant of a four person group will not be present, the trainer must be informed of this change prior to the session following the guidelines outlined above.

Trainer Cancellation

If the trainer must cancel a training session do to a prescheduled conflict such as a vacation, appointment, or special event, they must inform the participant/support staff at least 2 weeks prior to the missed class and provide at least one possible make up time. If the trainer must cancel a training session do to illness or other unforeseen issue, they must call one/both participant contact numbers prior to 8am on the day of training. In the event that the trainer needs to change the location of a session due to an issue/conflict with the facility, the trainer must inform the participant/support staff of this change at least 24 hours in advance and agree on an alternate location.

Termination for poor attendance

In the event that a participant displays patterns of poor attendance to training sessions, with or without proper notification, the trainer has the right to drop the client from services.  Poor attendance is defined as missing 3 or more sessions in a single month or missing 4 or more sessions in three months.
